What is included in the hourly charter costs?

Hourly plane rental costs cover the charges of owning and operating the aircraft. The hourly cost is a combination of the fixed and variable costs spread over the expected total hours of usage per year. Examples of fixed costs include crew salaries, benefits and training, aircraft and operating insurance, aircraft storage, and aircraft refurbishment. Variable costs are incurred according to specific aircraft usages, such as fuel and maintenance.

An aircraft’s total expected hours of usage per year is an important number. It ultimately determines the hourly rental cost for an aircraft. Simply stated, if total costs per annum are $2M, and the expected usage (total flight revenue flight hours) in that year is 200 hours, the hourly cost to break even is $10,000 per hour. If expected usage is doubled to 400 hours per year, the hourly cost is reduced to $5,000 per hour. The importance of the expected total hours of usage as it pertains to plane rental becomes very clear in the examples to follow and understanding the role daily flight time minimums play in the overall cost of chartering a private jet.

How do I calculate the total flight time and cost for my trip?

Essentially, this is a time, speed, and distance calculation. However, calculating the total flight time you will be charged for your trip is not always straightforward. As explained above, the hourly charter rate for an aircraft is determined by expected annual usage. This means the aircraft must earn revenue through flight hours daily. If an aircraft is sitting on the ground waiting, a daily flight time minimum must be charged in order to meet expected annual usage hours. In general, industry-standard daily minimum flight times are two hours per day.

This will be easiest to explain using example itineraries between two airports.

Empty legs are generally 30% - 40% less than the cost of a full charter. In some cases, if an aircraft must re-position urgently, even better deals can be had.

What Other Charges Are Added to the Total Cost?

Every flight leg will incur the following costs:

  • Landing fees are charged by the Airport Authority to maintain the airport and vary by airport. Usually between $150 to $500 depending on the size and weight of the aircraft.
  • Ramp and Handling fees are charged by the fixed-base operator to handle and park the aircraft. These fees are sometimes waived if a minimum amount of fuel is purchased by your aircraft.
  • Segment Fees are a government tax calculated per passenger. There are a variety of segment fees based on if the flight is domestic or international or whether it departs from Alaska or Hawaii.
  • Federal Excise Tax is charged for all US domestic flight legs at a rate of 7.5%. Learn how to calculate taxes on flights in the United States here.

Depending on your itinerary, other costs you may be charged for:

  • Cleaning fees are sometimes charged when a mishap occurs, requiring additional cleaning beyond the regular cleaning - between flights.
  • Crew overnight and per diem fees are between $200 to $300 per crew member per night to cover food, lodging, and other expenses incurred for being away from home.
  • De-icing fees, which pay for de-icing the plane, or removing ice from the aircraft. This is crucial for a safe take-off. Whenever snow, ice, or even frost has accumulated on aircraft surfaces, de-icing is necessary and is charged per application.
  • Hangar fees are most commonly incurred in icy conditions to prevent ice, snow, or frost from accumulating on aircraft surfaces and to avoid de-icing costs. Sometimes, even if the aircraft has been hangared, de-icing may still be required because of departure delays or extreme winter conditions.
  • International feesfees include landing permits, overflight permits, customs, and immigration fees whenever required by your route of flight and the country of your arrival.
  • Short-leg fees fees apply mostly to larger aircraft categories, set by the owner of the aircraft for flights under a specified duration. Usually for flights under the daily flight time minimum of two hours. This practice is widely varied and determined on a case-by-case basis in consideration of the trip itinerary as a whole.

Optional Concierge Services:

  • Catering fees are added into the cost of most private jet charters, as they will typically include a standard stock of water, sodas, and basic snacks, usually chips and crackers. Additional catering of food and beverages can be provided for an additional cost to accommodate your individual preferences. Generally, you will be asked to provide a menu and given a quote for approval prior to your flight.
  • Ground transportation arrangements can be made prior to your trip and are an additional cost, customized to your needs and preferences. A quote for these services will be provided for your approval.
  • Spa services are available on flights of a longer duration, since these afford the time for such activities. These include all the personal services found at a spa, such as a massage, facial, manicure, and pedicure. For an additional cost, a spa technician can be arranged to be onboard to provide these services.
  • Chef services are available on larger aircraft at an additional cost for those desiring freshly prepared dishes onboard by a personal chef. For a unique epicurean experience, a celebrity chef can be arranged and a quote provided for approval. Of course, a personal chef in your employ, traveling in your party, is always welcome at no additional charge.
